Order Cancellation for WooCommerce

Let customers cancel their own order for a while after they place it, instead of writing in to ask. A paid order comes to you as a request to approve, and nothing here moves money.

What it does

Most cancellations are somebody who ordered the wrong thing and noticed a minute later. Handled by email, that costs you a reply, costs the customer a wait for an answer they already know, and sometimes costs you a parcel that went out anyway because nobody read the message in time.

Order Cancellation gives every order a window. While that window is open, and while the order is still in one of the statuses you allow, the customer sees a Cancel order option on the order itself with the time left counting down beside it — in My Account, beside the order it belongs to, and on the order confirmation page. When the window closes, or you move the order on, the option goes and the order is yours to pick and pack as usual.

A paid order is treated more carefully than an unpaid one. By default an unpaid order is cancelled there and then, and a paid one comes to you as a request to approve or decline from the order screen. That is deliberate rather than a limitation: marking an order Cancelled in WooCommerce moves no money at all, so a plugin claiming to have settled the payment would be telling you something it cannot know. You keep the decision and the record of it, and you settle up with your payment provider the way you already do.

An order keeps the window it was given. Shorten the shop-wide setting tomorrow and the orders you took today stand exactly as they were, because each deadline is worked out once and written onto its order rather than recalculated from whatever the settings say now. The countdown the customer sees is worked out on your server too, so a clock that is wrong on their laptop cannot buy them another hour.

Eight of the sentences a customer reads about cancelling are boxes on the settings screen, from the button itself to the answer a request gets. You can offer a list of reasons to pick from and a note in the customer's own words, so a cancellation arrives telling you something you can act on rather than just changing a status.

Pro is for shops where one window for everything is not enough. A window can be typed onto a single product or onto a whole product category, so a printed mug and a pair of socks need not have the same amount of time. Made-to-order and perishable goods can be marked so they are never cancellable online, whatever else is set. Windows can follow the delivery method, the payment method, the customer's role, or what the order is worth. Cancellation can close the moment you start work on an order, whatever is left on the clock. And the deadline sits on the order screen with the means to extend it, reopen it, or close it now.

One thing Pro does differently from the rest of our plugins, on purpose. If a licence lapses, every rule you configured carries on being enforced — the windows, the excluded products and the cut-off all go on working. What stops is the editing: the Pro settings go read-only and say why. A renewal somebody forgets must never be the thing that makes made-to-order goods cancellable again.

Frequently asked questions

Does cancelling an order send the customer their money back?

No, and no edition of this plugin ever does. Cancelling sets the order's status in WooCommerce and stops there — nothing is asked of your payment provider. That is why a paid order comes to you as a request rather than cancelling itself: you make the decision, you settle the payment the way you already do, and the order carries the record of what happened.

How long is the cancellation window?

Whatever you set for the shop: 30 minutes, 1 hour, 4 hours, 24 hours, or a length of your own in minutes, hours or days. You also choose whether the clock starts when the order is placed or when payment completes. The second suits a shop taking bank transfers or cash on delivery, where nothing is prepared until the money arrives.

Which orders can a customer cancel?

The ones in the order statuses you tick, and only while their window is still open. Completed, Refunded and Cancelled are never offered, whatever else you choose.

Where does the customer find the option?

On the order itself. It sits in My Account beside the order it belongs to, and on the order confirmation page — on the classic template and on the block one — with the time left counting down next to it.

What if I change the window later?

Orders you have already taken keep the window they were given. Each deadline is worked out once and written onto its order, so shortening the setting tomorrow cannot move a deadline a customer has already been shown, and lengthening it cannot quietly reopen something you thought was closed.

Can different products have different windows?

Yes, in Pro. A window can be typed onto a single product on its Advanced tab, or onto a whole product category at once. Anything you leave alone keeps the shop-wide window.

Can I stop some things being cancelled at all?

Yes, in Pro. Tick a product, or a whole category, and it can never be cancelled online. One excluded item in a basket closes cancellation for that whole order, and an exclusion beats every other rule you have set.

Can the window depend on how the order was placed or paid for?

Yes, in Pro. A window for each delivery method, a window for each payment method, a window for each customer role, and bands by what the order is worth. Any of them can ask you to approve the cancellation instead of doing it.

What stops a customer cancelling something I have already started?

In Pro, a fulfilment cut-off. Name the order statuses that mean work has begun, and cancellation closes as soon as an order reaches one of them, whatever is left on the clock. It stays closed if you move the order back, and the customer is told why in your own words.

What happens when several rules apply to one order?

Pro settles it down to one window you can predict: the shortest that applies by default, or the longest if you would rather. An exclusion always wins, and the resolved deadline is the one shown on the order screen.

Can I move my settings to another shop?

Yes. Export writes a file you can import on another shop or keep as a backup, and Pro's own settings travel in the same file rather than being left behind.

What happens to my rules if a Pro licence lapses?

They carry on being enforced.
